Policies & Procedures
To ensure we provide the highest quality care and maintain a safe, organized environment, Red After School Care follows a set of clearly defined policies and procedures. These guidelines help us operate efficiently and support the well-being of all students in our program. Please note that our policies are subject to change at any time as we continue to improve and adapt to best meet the needs of our families and staff.
ENROLLMENT:
To enroll in the program, the following must be completed.
Pay the non-refundable yearly $100 per child registration fee, which will act as your deposit fee to hold your spot for the new academic school year. This covers snacks and supplies for the year.
Complete all enrollment paperwork including authorization to pick up list.
You MUST agree to all policies and procedures.
All students including PreK/K must be fully potty trained, and be able to complete independent toileting. Please see additional information under the Toileting section below.
Pay any previous outstanding balance owed to Red After School Care.
WAITLIST:
If there are no spots available in the program, interested families will be added to the waitlist. We fill spots from this list throughout the school year.
HOURS:
Monday through Friday from school dismissal to 6:15pm. Parents may pick up at any time till 6:15pm. Students can attend any or all days of the week. We do not modify tuition regardless of the number of days you attend through the week.
NOTE: We are not in session if the school is closed. This includes in-service days as well as inclement weather days. We follow HISD and Red Elementary when closing the program for emergencies.
TUITION:
$220 per month per student.
First full tuition will be billed on August 1st, 2024 due by the 11th in order to be part of aftercare on the first day of school (August 12th).
Tuition thereafter is billed and due on the 1st of each month: September, October, November, December, January, February, March, April, and May.
If payment is not received by the end of day on the 4th of the month, a $75 late fee per family will be added on the 5th to your account.
If the tuition is not paid in full, including the late fee, by the end of day on the 7th of the month, your child/children will be removed from the program on the 8th of the month.
Your child/children will also be sent to the regular school car pick up line on the 8th.
Your spot(s) will also be forfeited in aftercare and immediately open to anyone on the waitlist.
A reinstatement fee of $200 will be added to your account.
You will also be responsible to pay $100 for services already rendered per child.
If you wish to rejoin the program you will be placed on the waitlist until a spot becomes available again.
All tuition and fees must be paid in full to re-enroll in the program including at the start of a new academic year.
No tuition is billed for the month of June 2025. However, ASC will remain in operation for current enrolled families till the last day of school (June 3rd).
NOTE: We do not offer any modifications on the program rates. The rate is determined by the 38 in-service weeks of school. The total cost for the year is $2,200 per child. We divide the cost by 10 months. We only pro-rate for new-to-aftercare families starting mid-month.
NOTE: We do not offer drop-ins or short term enrollment.
NOTE: Tuition is non-refundable.
TOILETING:
The ASC program keeps new emergency back-up clothing items on hand such as shorts, underwear, socks, and shirts. These items are used if the student does not have any extra clothing items available. If your student uses any emergency clothing items provided by ASC, then you are responsible to pay per the items issued.
Emergency clothing item charges will be added to your invoice.
Costs are as follows:
Shorts $15.00
Shirts $10.00
Socks $5.00
Underwear $5.00
Alternatively:
Option 1: Any parent may include a set of emergency clothing items for their child, regardless of the child’s grade level, in the student’s backpack.
Option 2: Any parent may provide a clear ziplock bag with backup clothing items to the assistant director. The ziplock bag will be stored onsite within the ASC locked cabinets. Please label the ziplock with your student’s name and grade. We will return your stored clothing items at the end of the school year. If your student uses the stored clothes please resend washed clothing to be restored in the ASC locked cabinets. WE HIGHLY RECOMMEND ALL PRE-K & K STUDENTS TAKE ADVANTAGE OF THIS OPTION, as these are the grade levels that tend to have the most accidents.
Please remember that to be in the program, a student must be fully potty trained, and must be able to use the toileting facilities on their own (independent toileting). Students 1st-5th grade can use the toileting facilities freely with a pass which they must receive from a staff member. We do not escort students in 1st-5th grades to the bathrooms areas. PreK/K students are provided with scheduled bathroom breaks and are escorted to bathroom areas.
NOTE: Please be aware that our staff members are not authorized to accompany any of the students into the bathroom facilities. Students must be able to complete independent toileting and changing on their own.
PICK-UP PROCEDURES:
Parents will pick up from the red gates by the cafeteria using a carline system unless otherwise instructed by display board signs posted at the cafeteria’s red gates.
Parents must wait in their cars for safety of the children.
We are a closed campus and do not allow parents into the building at any time.
Parents will be issued a car tag during the first week of school.
This will identify to the staff member working the door the name of the student(s) you are picking up.
If someone without the car tag picks up, they will need to bring ID.
All people authorized to pick up must be listed on the ASC enrollment paperwork.
If during the year you need to add someone or remove someone, please contact the director by email.
We will not release student(s) to someone not on the pick-up list.
We are not able to pull students from tutorials or clubs. You will need to contact the school.
Please notify the director via text or email if your student(s) will not be in after school care.
Note: The school and the after school care program do not share authorization lists. Please notify both the school and ASC of any changes.
All ASC staff members do hold the right to ask for an ID at any time. Even from parents and people with or without a car tag.
TARDY PICK-UP:
The latest you can pick up is 6:15pm. The assistant director and/or director will attempt to begin contacting parents at 6:10pm to ensure you are on the way.
At 6:16pm a $5 per minute late charge will begin being clocked.
We allow one written late pick up warning per semester.
The tardy pick-up late fee will be applied after your first written warning.
The charges will automatically be added to your next invoice, and must be paid in full with your monthly billed tuition.
If you are going to be late you must contact the director immediately to make aware of your circumstances.
If you do not contact the director and you do not pick up your student(s) by 6:45pm, we will notify the school’s administrators and may be required to contact HISD police.
ACTIVITIES:
Quiet Time 20-30 mins (homework/reading/studying/drawing/coloring)
Checking homework is the responsibility of the parent or guardian. Our program encourages independent homework completion, but we are not able to work one on one with students to ensure completeness or accuracy.
We do not communicate with the teachers regarding what is due and when.
Free Play Time (playground/games/crafts)
We go outside every day if weather permits.
Please make sure your child has the appropriate outerwear and a refillable water bottle everyday.
NOTE: It is most important students have a refillable water bottle everyday especially during hot weather.
When we come back inside or are unable to go outside we provide students with different activities, and games.
BEHAVIOR EXPECTATIONS:
NO fighting, hitting, pushing, scratching, or unwelcome touching.
NO foul language of any kind towards any student or staff member.
Respect for all staff and all fellow students.
NO toys, games, cards or other personal play items allowed during aftercare. Any such items brought into aftercare must remain inside backpacks.
NO cell phones allowed during aftercare, must remain inside backpacks.
Must follow directions from staff and rules of the program, including school’s code of conduct.
No taking other student’s or teacher’s belongings.
Must be potty trained and able to independently toilet.
Failure to follow behavior expectations will result in removal from the program. We use a discipline system of two written warnings and then removal from the program. However, any incident in question is at the director’s discretion deeming circumstances.
NOTE: The Red After School Care Program is not responsible for any lost, stolen, or damaged items of value to any student. This is why we encourage students to leave such items at home and left in backpacks at all times.
SNACKS
Snack Time (provided by program)
Please list any allergies/food aversions/prohibited food or other conditions (braces, etc.) on the enrollment forms.
If your child is picky or extra hungry, please send a snack from home as we only provide the option of one snack, per student, per day.
Students must bring a re-fillable water bottle or drink from home every day.
REMOVAL/WITHDRAWAL PROCEDURES
Paying your tuition is what holds your spot. If you withdraw from the program or are removed, your spot will be filled per the waitlist.
If a family wishes to withdraw from the program:
You MUST notify the director via email or letter by the 27th of your last month that you wish not to return to aftercare the next month.
Failing to notify will subject account to the late tuition policy from above section under Tuition. The $200 reinstatement fee will be charge to your account and must be paid along with tuition to re-enroll in aftercare.
Failing to pay monthly tuition before the end of the day on the 7th of the month will result in removal from the program (see tuition section above for details).
If a student must be removed from the program, a notice will be sent home from the director.
Returned Checks – if you have a check returned the following will happen:
We will assess a $50 returned check fee.
If it’s after the 5th of the month, the late fee will be applied.
You have two days to make payment (tuition, late fee, and returned check fee) by cash or credit card.
Credit Card Dispute or Reversal – if you initiate a dispute or reversal on your credit card the following will happen:
We will assess a $50 dispute reversal processing fee.
You have two days to pay the reversal processing fee in full plus disputed invoiced tuition via cash in order for your student(s) to remain in the aftercare program.
Once reversal has been returned to ASC by your credit card or bank, we will credit your account accordingly.
COMMUNICATION:
Please make sure we have a good email and phone number on file to contact you.
We will notify parents of program closures and changes to pick-up by ClassDojo, text messages, and/or phone calls.
Any updates to program or special events will be either emailed or a note will be sent home with pickup person.
